Securing A Document

Fig.1

PLEASE REFER TO 'MANAGING DOCUMENT REVISIONS' FOR MORE DETAILS ON REVISION/VERSION MANAGEMENT

Once you have finished editing a document you will want to secure the document to ensure that the Document is safely stored.

To secure a Document in i-Memorize select 'Secure Document' from the Checked-Out Document Context Menu in the Treeview.

This will first check to make sure the document is not still opened for editing. It will then present the user with the Document Check-In/Release Panel (Fig.1)

The Document name will be pre-populated with the name already in the Tree for this Document. This may be changed and a description updated to include any comments relevant to this version of the Document.

Other options available are:

Check-In: this is the default and will increment the version of the Document as it is Checked-In

Release: this will set the Document version to '000' but will increment the revision of the Document.

The final option is whether to place the Document under Revision Control for future actions on the Document. This option is set to 'True' by default and should be left that way if you wish to continue to capture the Document History.

If this check box is cleared, i.e. the value set to 'False' or unchecked then the 'Edit Document' option will not be available for this Document in the future.
