By default, all stored documents are under 'Revision Control' . This
means that when you edit a document you are actually editing a COPY
of the document which is stored in the i-Memorize Vault.
The advantage to this method of working is that you never destroy, overwrite or otherwise corrupt the existing versions of the document. The revision control in i-Memorize is fairly intuitive. i.e. when you select a document and then select 'Edit Document' from the Document Context Menu, Fig. 1, i-Memorize will 'Check-Out' the document from the i-Memorize Vault and activate it in the appropriate application for you to make your changes. When you have made your changes and saved the document ( use the 'Save' function in your application NOT the 'Save As..' function) go back to i-Memorize, select the document in the Treeview and select 'Secure Document' from the Document Context Menu, Fig.1. This will increment the Version Level of the document ( the Revision Level if you select to Release the document ) and 'Check-In' to the i-Memorize Vault. If you select a document which is already 'Checked-Out' for editing and select 'Edit Document' from the Document Context Menu the 'Checked-Out' document will be activated in the appropriate application for you to continue editing. The version you select when you select a document from the Treeview WILL ALWAYS BE THE LATEST Revision/Version combination. If you wish to select a previous version of the document to make changes to then you must select the required document using the 'History' tab in the 'Utilities' area of the UI, Fig.3. If you select an previous version of the document, Fig 4, to edit it will 'leapfrog' the other documents and become the latest version of the document. If you select not to place the document under Revision Control when checking the document in to i-Memorize (either initially or at subsequent 'Check-Ins'), Fig.2 then from that point on if you select 'Edit Document' from the Document Context Menu you will be editing a 'static' version of the document. i.e. you will be overwriting the contents of the document at the current Revision/Version. Typically you would not want to place Adobe PDF files or Hyperlinks, URL's, etc. under Revision Control. The Revision/Version History of a document can be reviewed by selecting it in the Treeview and then selecting the 'History' tab in the 'Utility' area of the UI, Fig. 3. The Revision/Version sequence used by i-Memorize is:
As you can see i-Memorize has the potential to manage approx 730,000 Versions of each document and it can also manage 1,000,000 independent documents ! - a potential capacity of 730 Billion Document Objects !! - assuming, of course, that you have the necessary disk space available !! |
